To share the call schedules with the rest of the Department's users and other Users who have been subscribed to receive emails of all schedule changes (such as switchboard or locating), all you have to do is Publish the schedule.
To Publish a schedule, click on the Publish button at the top right-hand corner. When you Publish a schedule, you have threes options to adjust the notification settings on who will receive an email notification of the schedule being published and if future changes are made to the schedule. The three options are:
- Don't notify anyone: No one will receive an email of the schedule being published nor if future changes are made to the schedule.
- Notify only affected members: Only users on the on-call schedule with a shift for the month will receive an email notification of the schedule being published and if future changes are made to the schedule. The email will include an Excel version of the call schedule.
- Notify all members: All users in the department, including those not on the on-call schedule with a shift for that month, will receive an email notification of the schedule being published and if future changes are made to the schedule. The email will include an Excel version of the call schedule.
Things to Note
- If your colleagues in your department do not have an active Hypercare account or have a shell account with an email part of your department, they will not receive an email with an excel copy of the on-call schedule.
- In order for users not on the department list (e.g. your switchboard operators) to be subscribed all emails notifications of the on-call schedule, please contact support@hypercare.com.
- Email notifications are only sent for schedules within three months of the current day. For example, if today is January 1, emails for the January, February, and March schedule will be sent. Any publications or changes to shifts on schedules for April onwards will not be sent.
- Email notifications of changes made to a schedule are batched up in 5-30 minute increments depending on the timeframe set by the Department. If the timeframe needs to be adjusted, please have your department, site or organization administrator contact support@hypercare.com.
